1. Who we are and what this policy covers

Let's Play Tennis is operated by Brand Media, Inc. This policy describes personal information handled through letsplaytennis.com and its tennis and pickleball community features. It covers current members, visitors, submitted content, and retained records from the earlier Let's Play Tennis service. It does not describe unrelated Brand Media websites. 2. Information we collect

Depending on the features you use, we collect:

  • Account information: name, email address, password credentials stored in hashed form, verification and recovery records, account status, and optional linked Google identity. Some migrated accounts retain legacy credential data until their password is migrated or reset.
  • Profile and preferences: profile photograph, sport, self-reported skill and ratings, optional age range, city or postal code, travel radius, playing preferences, availability, language, timezone, units, visibility, and notification choices.
  • Community and activity records: messages, contacts, invitations, match scores and notes, schedules, saved searches and courts, club membership, team invitations, competition participation, bookings and appointment requests, equipment setups, and reminders.
  • Contributions and requests: articles, forum posts, comments, reviews, photos, proposed listings and corrections, reports, support requests, and associated moderation or revision history.
  • Technical information: session identifiers, IP addresses and browser or request information used by hosting, security, logging, and abuse-prevention systems, as well as optional location coordinates supplied for a search. Some abuse-prevention identifiers are hashed rather than stored as raw IP addresses.

Legacy imports preserve source identifiers and relevant history. Records that cannot be safely linked to a current account can remain in restricted, encrypted reconciliation archives rather than appearing in a member's account or being published.

3. How we use information

We use information to authenticate members, recover accounts, display profiles according to visibility settings, help people discover partners and facilities, deliver messages and invitations, organize activities, record results, and provide requested community tools. We also use it to moderate contributions, investigate reports, respond to support and privacy requests, prevent abuse, maintain security and backups, reconcile historical records, and understand website use.

Service emails can include verification, recovery, security, invitations, support replies, and activity notices. Optional activity emails depend on the applicable account and notification settings. We do not automatically send a bulk reactivation campaign merely because historical records have been imported.

4. Public information and restricted records

Public information: player discovery may show the name, photograph, city, sport, skill, and optional age range of a profile set to public. A full player profile is available to signed-in members under the site's access rules. Approved listings, articles, forum content, reviews, and public activities may be visible to visitors and search engines. Do not put confidential information in a public contribution.

Restricted information: private messages are available to their conversation participants under the messaging controls. Saved contacts, searches, equipment setups, exports, and private diary notes are restricted to their owner. Shared notes, match records, club rosters, team information, and competition tools are available to the participants or authorized organizers and managers indicated by the feature. Members can consent to scoped shared scorecards; anyone with a permitted share link may see the content covered by that link until access expires or is revoked.

Authorized administrators may access records needed for support, moderation, safety, account administration, and migration reconciliation. Operational and backup access is restricted to those responsible for those functions. Privacy settings do not prevent an intended recipient from retaining a message or copying content they can view.

5. Cookies, local storage, and analytics

Session cookies support sign-in, request security, and preferences such as language and sport or location selection. Local storage remembers the color theme. You can manage cookies and storage through your browser; blocking essential cookies can prevent sign-in and other features from working.

The production website can use Google Tag Manager to load configured analytics tags. Depending on the tags enabled, analytics providers may receive page URLs and technical information such as IP address, browser, device, and interactions. Advertising, when enabled, may involve third-party cookies or similar technologies. Browser privacy settings and provider controls may limit some tracking. This policy does not claim that every browser privacy signal is implemented as a website setting.

6. Service providers and other disclosures

We do not sell, rent, or lease the member directory or private messages as a customer list. We share information as needed with providers that help operate the service, with intended recipients of your communications, and when you choose public or shared features.

  • Hosting and security: hosting, database, storage, network, and security providers process technical and operational information needed to deliver and protect the website.
  • Email: when configured, Brevo processes recipient addresses and email content for transactional and selected activity messages.
  • Google sign-in: when you choose to connect Google, we receive the identity and verified-email information needed for that connection. We do not receive your Google password.
  • Analytics and advertising: Google Tag Manager and configured analytics or advertising providers may process the technical information described above.
  • Maps and external links: viewing maps, following directions, or opening provider and manufacturer links can disclose technical information to the relevant third party, including map services such as OpenStreetMap or Google Maps.

We may also disclose information when required by law or a valid legal process, to protect people and the service, or in connection with a business transfer subject to applicable obligations. Third-party sites and services have their own privacy practices. Information may be processed outside your state or country where we or our providers operate; we do not promise that all records remain in one jurisdiction.

7. Your choices and privacy requests

Account tools let you edit your profile, change visibility and invitation preferences, remove your profile photo, manage availability and notification settings, block members, change your password or email, export your account information, and request closure. You can report misuse or contact us for access, correction, deletion, or other privacy assistance. Additional rights may apply depending on where you live and the law applicable to your request.

We may need to verify your identity before providing private data or acting on an account request. An account export does not necessarily contain every operational log, backup, moderation record, or legacy archive; contact us if you need information beyond the export. Deleting a message from your own inbox does not delete the other participant's copy.

8. Retention and account closure

We retain information for operating accounts and community features, maintaining history, addressing support and safety issues, meeting applicable obligations, and preserving backups. Retention depends on the type of record and its purpose; this policy does not promise a universal automatic deletion period.

An account closure request disables sign-in and hides its player profiles. It does not immediately erase all associated data. Administrators can review the request and anonymize account identity fields. Shared authored content, conversations, match and competition records, uploaded media, restricted source archives, and backup copies require separate retention review and may remain where needed for the purposes described above. Public withdrawal or deletion does not remove copies already retained by another person, search engine, or third-party service. Contact us to discuss a specific deletion request.

9. Security

We use controls such as password hashing, separate member and administrator access, authorization checks, protected private storage, moderation, encrypted reconciliation archives, and backups. New image uploads are processed to remove embedded metadata where supported by the upload pipeline. No system or transmission can be guaranteed completely secure. Keep your credentials private and tell us promptly if you suspect unauthorized access or a privacy issue.

10. Children

The service is intended for people of legal age to enter into the Terms of Service and is not directed to children under 13. If you believe a child has supplied personal information through the service, contact us so we can review and address the record. Do not publish a child's private information without the appropriate authority and consent.

11. Changes and contact

We may revise this policy when features or information practices change. We display the revision date and will provide appropriate notice of material changes. Where a change requires consent or another step under applicable law, we will address that requirement rather than treating a policy update alone as that consent.

SMS phone numbers and preferences

If you choose SMS, we collect your private mobile number, notification choices, verification records and consent history. Phone numbers are encrypted in our database and are not displayed on public player profiles. We use Twilio to process the recipient phone number and SMS content for verification and your selected activity notifications. Activity texts contain a brief notice and a dashboard link rather than private message content. We retain delivery identifiers, statuses and error codes for troubleshooting, and hashed phone identifiers for consent and opt-out records. You can remove your number or disable SMS in Settings; replying STOP also blocks further sends. Removing your number does not erase the hashed consent or suppression history. We do not share SMS opt-in information with third parties for their marketing. Operational service providers process it only as needed to deliver and protect the service.

Marketing contacts and email campaigns

We maintain marketing contact records for prospects and members, including email address, name, city, country, language, sport interests, contact source, membership relationship, consent evidence and dates, and unsubscribe or delivery restrictions. If you subscribe, we use Brevo to manage eligible audiences and deliver email campaigns. We synchronize eligible contact details and suppression updates, and receive delivery, bounce, unsubscribe and complaint events. Campaign tracking may report email opens and link clicks, which we use to understand engagement; these measurements are not always reliable. We can link a prospect contact to a member account when the person registers. Imported member identities do not automatically become marketing subscribers. Removing or closing an account does not necessarily erase consent and hashed suppression records needed to honor opt-outs. Marketing unsubscribe is separate from necessary account verification, recovery and security emails and from SMS preferences.
